Privacy policy
This page explains what personal information BiWize Solutions collects, why we collect it, how we protect it, who we share it with, and the choices and rights you have. We keep it plain, because that is the point.
On this page
1. Who we are
BiWize Solutions Inc. ("BiWize", "we", "us") is a digital operations and business intelligence consultancy based in Ontario and Quebec, Canada, working with clients across Canada. We are the organization responsible for the personal information described in this policy. You can reach us any time at info@biwize.ca.
2. What we collect
We only collect what we need for the specific thing you are doing. We do not require an account to browse the site.
Information you give us
- Contact form: your name, email, organization (optional), and the message you send.
- Fit-call booking: the name, email, and scheduling details you enter when you book a call through our scheduling provider.
- Digital maturity assessment: your answers, and, if you choose to receive your results by email, your email address.
- Newsletter: your email address, and a name if you provide one.
- Client portal: if you create an account, your name, email, and the credentials or sign-in identity you use.
Information collected automatically
- Usage and device data: standard analytics such as pages viewed, referring links, approximate location, browser and device type, collected through Google Analytics to understand how the site is used.
We do not knowingly collect information from children, and we do not ask for sensitive personal information through this site.
3. How we use it
- To reply to your message and, where relevant, tell you honestly whether we are the right team.
- To schedule and hold a fit call.
- To generate your assessment results and, only if you ask, send them to you and follow up.
- To send our newsletter, only to people who have asked for it.
- To operate the client portal and deliver the work you have engaged us for.
- To understand and improve how the site performs.
- To meet legal, tax, and accounting obligations.
We do not use your information to make automated decisions that have a legal or similarly significant effect on you, and we do not sell it.
4. Consent
Under Canada's Personal Information Protection and Electronic Documents Act (PIPEDA), we collect, use, and disclose personal information with your consent. When you fill in a form, book a call, or create an account, you are consenting to the use described here for that purpose. For marketing email, we rely on your express consent, as described in the email section below. You can withdraw consent at any time, subject to legal or contractual limits, by contacting us.
5. Cookies and analytics
We use Google Analytics to measure site usage. It sets cookies and collects the usage data described above. This helps us see which pages are useful and where the site can be better. You can block or delete cookies in your browser settings, and you can opt out of Google Analytics using Google's browser add-on. We do not run advertising trackers or sell analytics data.
6. Service providers and cross-border storage
We use a small set of trusted providers to run parts of the site. They process your information on our behalf, only for the purpose we engaged them for. Some are based in the United States, which means your information may be stored or processed outside Canada and may be subject to the laws of that country.
- Form handling: Formspree, which delivers contact, assessment, and newsletter submissions to us.
- Scheduling: Calendly, which powers fit-call booking.
- Analytics: Google Analytics.
- Client portal and hosting: Google Firebase, which provides authentication and data storage for the portal.
- Site hosting: Hostinger, which serves this website.
- Our records: Railway, which hosts the database where we keep a copy of assessment results, with the email address you give us when you ask for the report.
- Email delivery: Resend, which sends your assessment report to you by email.
If you would like more detail on where a specific piece of information is processed, contact us and we will tell you.
7. How we share information
We do not sell or rent your personal information. We share it only in these situations: with the service providers above so the site can function; when you have asked us to; to comply with a legal obligation, court order, or lawful request; or to protect our rights, safety, or property. If BiWize is ever involved in a merger or sale, information may transfer as part of that transaction, and we would require the recipient to honour this policy.
8. How long we keep it
We keep personal information only as long as we need it for the purpose it was collected, or as required by law. Inquiry and assessment messages are kept while we follow up and for a reasonable period afterward. Newsletter details are kept until you unsubscribe. Client and account records are kept for the life of the engagement and as long as tax and accounting rules require. When we no longer need information, we delete or anonymize it.
9. How we protect it
We use reasonable administrative, technical, and physical safeguards suited to the sensitivity of the information, including access controls, encryption in transit, and keeping collection to a minimum. No method of transmission or storage is perfectly secure, but we work to protect your information and to limit who can see it.
10. Your rights
Under PIPEDA and applicable provincial law you can:
- Ask what personal information we hold about you and get a copy.
- Ask us to correct information that is inaccurate or incomplete.
- Withdraw your consent or ask us to delete your information, subject to legal and contractual limits.
- Ask a question or raise a concern about how we handle your information.
To exercise any of these, email info@biwize.ca. We will respond within the timeframe the law requires. If you are not satisfied with our response, you can contact the Office of the Privacy Commissioner of Canada.
11. Email and unsubscribing
We follow Canada's Anti-Spam Legislation (CASL). We send commercial email, such as our newsletter, only to people who have given express consent by asking for it. Every such email includes a clear way to unsubscribe, and we honour unsubscribe requests promptly. You can also unsubscribe any time by emailing us. Replies to a direct inquiry, and messages about work we are actively doing for you, are not marketing email.
12. Quebec residents
If you are in Quebec, additional rights apply under the province's Act respecting the protection of personal information in the private sector (Law 25), including rights of access, correction, and, in some cases, portability, as well as the right to be informed when your information is used to make an automated decision. We handle Quebec residents' information in line with these requirements. Contact us to exercise these rights.
13. Changes to this policy
We may update this policy as the site, our tools, or the law change. When we do, we will update the date at the top. Material changes will be made clear on this page.
14. How to reach us
Questions, requests, or concerns about privacy go to info@biwize.ca. We read every message and a real person replies.
